Executive Assistant to the Executive Minster

 

Purpose:  To provide executive assistance to the Executive Minster of Mennonite Church Canada

Time Commitment:  1.0 FTE                           Start Date: May 1, 2021

Supervision: Executive Minster, Mennonite Church Canada

Applicants must be permanent residents of Canada or Canadian citizens

 

Key Duties:

  1. Assist the Executive Minster (60%)
    • Assist and support the Executive Minister in fulfilling his/her responsibilities and duties.
    • Respond to and monitor phone calls, emails, mail and calendar
    • Respond to inquiries when the Executive Minster is unavailable
    • Help prepare and monitor budgets and expenditures as they relate to the Joint Council and Executive Staff Group.
    • Coordinates meetings for the Executive Minister, attends meetings as directed, takes and summarizes minutes or other records, takes action as required, provides contextual and other information as required.
    • Assist in ensuring there’s MC Canada representation with partner agencies, maintaining connections and contact lists.
    • Other duties as required

 

  1. Provide administrative support to the Executive Staff Group, Joint Council, Church Leadership Ministers, and Company of 1000 (30%)
  • Coordinate internal and external meetings, including agendas, briefings, and logistical support.
  • Record minutes at meetings as requested
  • Coordinate and ensure follow-up of ESG, CLM and Joint Council decisions
  • Maintain contact lists
  • Work with committee for Co of 1000, processing applicant’s/loan agreements; forgiveness schedules; ensure payments are made as agreed to by CLM and assist with donor appeals
  • Prepare expense claims for Executive Minister, ESG, CLM and Joint Council

  1. Provide office management oversight (10%)
  • Oversee the day to day running of the office
  • Provide oversight to office cleaning
  • Provide oversight to reception
  • Ensure availability of office supplies for MCM/MC Canada
  • Ensure fulfillment of small maintenance requests
  • Other duties as required

 

Skills and Abilities:

The Executive Assistant to the Executive Minster will demonstrate the following: 

  • Strong oral, written and interpersonal communication skills
  • Proficiency in English required, knowledge of other languages an asset
  • Ability to work effectively with a diverse range of backgrounds and theological perspectives, and strong intercultural competency skills
  • Proven ability to take initiative and creativity in providing organizational and administrative assistance
  • Highly organized and proven flexibility to manage multiple priorities, tasks and relationships.
  • A thorough knowledge of the structures and institutions in the Mennonite constituency
  • Self-motivated and ability to manage time and work unsupervised
  • Undergraduate degree plus specific training for assigned responsibilities and/or significant related work experience.
  • Proficiency in MS Office and ability to learn and use new technology – experience with or ability to learn database management and software essential (i.e., Adobe, Zoom).
  • Aptitude for engaging new challenges with enthusiasm.

Special Considerations:

  • This position may involve occasional travel within Canada

 

Salary Classification:  Level 7 ($42,255 -51,583); prorated
